St. Paul Eye Clinic Is seeking highly qualified and motivated candidates to join our longstanding team of vision care experts. Our team of Ophthalmologists and Optometrists work side by side with our team to serve patients at our six Twin Cities locations.

Appointment Scheduling duties include scheduling patient visits, obtaining patient information including insurance and demographics, and fielding calls for our 6 locations. Previous experience with medical appointment scheduling, knowledge of insurance, and experience with electronic health records (EHR) required

Essential Job Responsibilities:

1. Answering and fielding multi-line telephones, directing calls or taking messages for providers or staff, and scheduling appointments for patients or family members.
2. Schedules appointments for patients by phone, schedules these appointments following physician and clinic protocols and patient preferences in the Practice Management computer system.
3. Obtain accurate and complete patient demographics and information, including insurance information.
4. Process online appointment requests.
5. Retrieve and process any other incoming correspondence/requests from other facilities or referring physicians.
6. Ensures that updates (e.g., cancellations or additions) are input daily into master schedule and clinics are notified per protocol. When scheduling, notify clinics based on same day changes.
7. Communicate as needed with physicians and other staff about any patient concerns/issues related to scheduling. Consults with direct supervisor or Director about any system problems.
8. Uses customer service principles and techniques to deal with patients calmly and pleasantly. Does the best to their ability to meet patient needs while following clinic protocols.
9. Meet team and personal benchmarks and goals set by management in regards to calls, call statistics and scheduling accuracy.
10. St. Paul Eye Clinic uses electronic communication frequently to communicate pertinent information. It is the responsibility of the employee to read and comprehend emails, teams messages, and software communication.
11. Other jobs as assigned by your supervisor or management.

Education: High school diploma.

Experience: Minimum one year of experience in an appointment scheduling position, preferably in a medical practice setting is preferred. Knowledge of insurance information and experience with an Electronic Health Record (EHR) is preferred. Experience in an ophthalmology practice is a plus.

Knowledge:

1. Knowledge of medical practice protocols related to scheduling appointments.
2. Knowledge of computerized scheduling systems.
3. Knowledge of customer service principles and techniques.

Skills:

1. Skill in maintaining master appointment schedule via computerized means.
2. Skill in producing reports about appointment patterns as needed.

Abilities:

1. Ability to communicate calmly and clearly with patients about appointments in all circumstances including when they are urgent or emergent.
2. Ability to analyze situations and respond appropriately.

Equipment Operated: Standard office equipment with emphasis on computer hardware and software as well as telephone, scanners, printers.

Work Environment: Position is in a well-lighted office environment.

Mental/Physical Requirements: Mostly sedentary with some standing, walking, reaching. Periodic stress from handling many calls and patient requests.

Location : The appointment center is located in our Headquarter Woodbury location, 2080 Woodwinds Drive, Suite 110, Woodbury, MN 55125. Hours are Monday through Friday, 730am-430pm. Shifts do vary. Travel is limited.

Compensation details: 19-23 Hourly Wage
